The recruiting operations platform

ProHRHQ gives motor carriers one operating environment for the work between a driver's first response and the carrier's qualification decision.

Applications, communications, recruiter notes, follow-up, signed forms, documents, and the completed application package remain connected to the same applicant record.

What each part does for the carrier

FeatureOperational advantageCarrier benefit
One applicant recordEmail, texts, notes, replies, scheduling, job information, forms, and status remain connected to the same driver.Recruiters spend less time switching between tools, and the carrier can reduce lost context and missed follow-up.
One-click email and carrier-specific templatesRecruiters can send consistent information about pay, home time, equipment, requirements, deductions, team driving, and orientation.Drivers receive clearer information, and new or backup recruiters can become productive with less dependence on memory.
Explanatory graphics and job informationComplex jobs and compensation arrangements can be explained visually and consistently.Applicants can understand the opportunity earlier, reducing avoidable confusion and mismatched expectations.
AI Recruiter HelperThe recruiter can ask questions about the applicant's carrier, job requirements, and controls from inside the applicant record.Recruiters can answer routine questions without searching separate documents or waiting for a manager.
Email, texting, voice notes, and follow-up schedulingCommunication, dictated notes, and next actions remain attached to the driver record.More of the relationship is documented, and the carrier can reduce manual reminder tracking and forgotten follow-up.
Applicant reactivationPrior applicants can be reviewed, contacted, reassigned, and returned to the active recruiting pipeline. The carrier can obtain more value from applicants and advertising it has already paid for.
Carrier recruiting micrositeOne public link combines the company description, current jobs, safety report card, federal-record information, carrier response, AI Job Assistant, and application access. The carrier presents a more credible and complete recruiting destination across ads, email, text, social media, and its own website.
AI Job AssistantDrivers can ask configured questions about the carrier and job before or during the application process.Prospects can receive consistent information when a recruiter is unavailable, while the carrier controls the underlying job explanation.
Application and separately signed formsThe base application and the forms configured for the carrier are collected through one organized process. The carrier receives a more complete package and spends less effort chasing documents individually.
Document collectionCDL images, medical cards, and supporting documents remain associated with the applicant record.Recruiters and managers can see what has been received and what is still missing without searching email and text threads.
AI-assisted parsingResume and raw applicant information can be converted into structured application fields for review and correction. The process can reduce repetitive data entry and make it easier to move an interested driver toward a completed application.
DQ VaultApplications, signed forms, documents, and recruiter records are stored inside a role-based, logged-in system.Sensitive driver information can be handled in a more controlled manner instead of being routinely circulated through email attachments.
Dated PDF and ZIP packageCompleted materials are compiled into one organized carrier-ready application and authorization package. The carrier receives a package that is easier to review, transfer, archive, or use in its existing qualification process.
Management visibilityManagers can review applicant status, recruiter activity, communications, notes, and follow-up from the same underlying records.Management can identify stalled applicants, missed follow-up, workload issues, and process breakdowns without creating a separate reporting burden.
Independent or existing-system useThe carrier can use ProHRHQ on its own or alongside Tenstreet or another safety and compliance system. The carrier is not forced to buy Tenstreet, replace its existing process, or undertake an immediate system migration.
Configuration and recruiter trainingJobs, requirements, templates, forms, users, permissions, and workflow are configured for the individual carrier. The carrier receives an operating recruiting process rather than an empty software account its staff must assemble alone.

Applicant intake

Applications can arrive from the jobs board, a carrier recruiting page, referrals, reactivation campaigns, or direct applications. Each applicant enters one record with the carrier and job context attached.

Recruiter workflow

One-click email, carrier-specific templates, texting through the configured workflow, follow-up scheduling, and the AI Recruiter Helper keep the recruiter's work around the applicant record and reduce manual tracking.

Communications and follow-up

Sent-message history, replies, dictated notes, and scheduled follow-up stay with the driver record instead of being scattered across inboxes, phones, paper notes, and separate calendars.

AI assistance

The AI Recruiter Helper answers questions about the applicant's carrier, job, pay structure, home time, equipment, and requirements using the information configured for that recruiting operation.

AI-assisted parsing can help turn resumes and raw applicant information into structured application data. Recruiters and carriers remain responsible for reviewing the information.

Applications and documents

The base employment application, separately signed forms configured for the carrier, CDL images, medical card, and supporting documents can be collected through the same operating process.

Management visibility

Managers can see applicant status and recruiter activity from the same records recruiters use. The purpose is not to create a separate reporting burden; it is to make the existing recruiting work visible.

Completed package

Completed applications, signed forms, and supporting documents are organized in DQ Vault and prepared as a dated PDF and ZIP export for carrier review.

The carrier continues to perform record retrieval, verification, testing, review, and final qualification.
